Event Equipment Rental Singapore: A One-Stop Checklist for Planners

A corporate planner has booked a venue for 200 guests and confirmed the caterer. Two weeks out, nobody has arranged power, lighting, or a tent for the overflow area outside. It is an easy gap to leave, because equipment gets treated as an afterthought once the venue and food are sorted.

For most events in Singapore, an event equipment rental checklist covers seven broad categories: audio-visual gear, tentage, play and entertainment equipment, games, power, sanitation, and seating and cooling. Which of these you actually need depends on whether your event is indoors or outdoors, how many guests are coming, and how long the event runs. A 50-person indoor product launch needs a very different list to a 300-person outdoor family day.

This guide walks through what to check in each category, how far ahead to book, and how a one-stop supplier compares with piecing it together yourself. It also covers the parts that are easy to overlook until something goes wrong on the day, such as power supply, wet weather, and permit requirements for tentage.

What equipment do you need to rent for an event in Singapore?

Start with the venue. An indoor event with air conditioning and house lighting needs far less than an open field with nothing on it.

Here’s a general breakdown by category:

CategoryExamplesWhat to check
Audio-visualMicrophones, speakers, screens, stage lightingMatch the setup to room size and guest count
TentageTents, gazebosSize, waterproofing, and fire safety conditions
Play and entertainmentBouncy castles, ball pits, arcade machinesWeather restrictions, power needs, space required
GamesCarnival stalls, table booth gamesStaffing and space per booth
PowerGeneratorsNeeded for sites with no mains power access
SanitationMobile toiletsNeeded for outdoor sites or long-running events
Seating and coolingTables, chairs, commercial fansSeat count against guest count, and airflow for outdoor or crowded setups

In short, an outdoor event often needs tentage, power and sanitation on top of whatever entertainment you’re planning, while an indoor event may not need those three at all. If you want to see the specific arcade machine options available for hire, our round-up of arcade machine rental options covers that in more detail.

A useful way to narrow the list is to split it into two tiers. The first tier covers whatever your venue doesn’t already provide, such as tentage for an open field or extra power for a car park. The second tier covers what makes the event itself, the games, the food stations, the entertainment. A common mistake is to focus only on the second tier and leave the first until the week before the event.

One category worth flagging early is tentage, since it comes with specific fire safety conditions.

What should you check before renting a tent for an outdoor event?

Tentage rental in Singapore isn’t just about picking a size. The Singapore Civil Defence Force sets fire safety conditions for temporary structures under its Temporary Change of Use permit framework. A single-storey tentage cannot exceed 2,000 square metres, and all tentages must sit at least 3 metres away from building facades. Events held under this permit type are also capped at 60 days. The permit applies to temporary events such as promotional activities, exhibitions and carnivals, and the application must be submitted at least three working days before the event starts.

None of this means you need to become an expert in fire code before booking a tent. It means the size, layout and duration of your event should be settled before you confirm tentage, since changing any of those later can affect what’s allowed.

Even a small, short event can need a permit if it involves tentage, so it is worth asking your supplier or venue whether your layout needs one, and who will apply for it, before you lock in a date, not after.

Weatherproofing is the other thing worth checking before you commit to a size. Singapore’s rain can arrive without much warning, so an open-sided canopy suits a shaded car park better than an exposed field, while a fully enclosed tent with sides makes more sense anywhere guests will be seated for a longer period.

What AV equipment rental do most Singapore events actually need?

AV needs scale largely with guest count and room size. A 30-person town hall needs a microphone and a small speaker. A 300-person dinner needs a stage, proper lighting, and screens that can be read from the back row.

Our equipment rental range covers both ends of that scale, along with tentage, play equipment and games under the same booking. If your event uses amplified sound outdoors, check with your venue whether any sound restrictions apply before finalising an open-air AV setup rather than after.

AV needs usually fall into one of two broad tiers. A basic tier covers a microphone, a speaker, and maybe a projector screen, which suits talks, briefings, and small celebrations. A full tier adds a stage, proper lighting rigs, and large screens, and tends to suit dinners, launches, and anything with a programme of speeches or performances. Knowing which tier you need before you call a supplier saves a round of back-and-forth quoting.

Lead time is the next thing worth planning around.

How far ahead should you book equipment rental in Singapore?

Booking late limits your options and your bargaining position. Popular dates get taken first.

We recommend booking at least three to four weeks ahead for a small event and twelve to sixteen weeks for a large one. That’s roughly four times longer for a large production than for a small booking, since larger setups need more time to prepare.

Payment and cancellation terms are worth checking before you commit. Full payment is required to confirm a booking. There’s no partial deposit option. Cancel more than seven working days out and half the fee is retained. Cancel within seven working days and the full amount is forfeited. Rescheduling is different and is allowed up to fourteen working days before the event, which is the better option if your date is uncertain rather than cancelled. Our equipment, including bouncy castles, is also not installed or used in weather that could wet it. That’s a safety rule, not a negotiable one. Payment and cancellation details sit on our Terms & Conditions page.

Why rent equipment through an event planner instead of separate suppliers?

Booking a tentage company, an AV supplier, and a games vendor separately means three contracts, three delivery windows, and three different people to chase if something changes. It also means three separate setup and teardown schedules to coordinate on the day, which is usually where timing problems start.

A fair question at this point is whether bundling everything under one supplier costs more than shopping around separately. If you find a lower, valid quote for the same scope of work, we will match it and reduce it by a further 5 percent (terms and conditions apply), so bundling doesn’t have to mean paying a premium for convenience. You can also add bouncy castle and ball pit rental or carnival game rental to the same booking as your AV and tentage, rather than coordinating a separate vendor for each.

We’re a registered supplier on GeBIZ, SAP Ariba and Sesami, which is worth knowing if you’re booking through a government agency or a larger organisation with procurement requirements. If you’d rather see the full picture of what we offer beyond equipment, our event services cover planning, food and entertainment as well.

If you want a straight list for your own event, reach out for a quote and we’ll size it to your venue and guest count rather than send you a generic package.

Frequently asked questions

Do I need a permit to rent a tent for an event in Singapore?

It depends on the event, but a tent used for activities such as product launches, exhibitions or carnivals will usually need an SCDF Temporary Change of Use Permit. Open-air events using only a single table, booth, stall or kiosk with no tentage do not need one, and nor do events held in venues that already have a fire safety certificate for such events, such as exhibition halls. Check your own setup with your supplier or SCDF.

How much notice do I need to give for equipment rental?

We recommend at least three to four weeks for a small event and twelve to sixteen weeks for a large one. If your date might shift, rescheduling is allowed up to fourteen working days before the event.

Can I rent just one item, such as a bouncy castle, without a full event package?

Yes. Equipment can be booked on its own without needing a full planning package built around it. This is useful if you already have a venue and caterer sorted and just need one or two extra items to fill out the day.

What happens if it rains on the day of my event?

Our equipment, including bouncy castles, is not installed or used in any weather that could wet it, and operations stop immediately if rain starts at an outdoor event without shelter. This is a safety rule.

Do I need to arrange my own generator if my event is outdoors?

If your site has no mains power access, yes. A generator can be rented as part of your booking. Parks and open fields often have no power supply, while indoor venues usually do, so confirm with your venue.
